Using the Faculty Directory as an institutional administrator

The Faculty Directory in Scholarly provides a live, up-to-date roster of faculty across your institution. As an institutional administrator, you have access to advanced profile views and tools to manage faculty data. This article addresses common questions about navigating the Directory.

How do I access the Faculty Directory?

Once logged into Scholarly, click “Directory” in the left-hand sidebar.

How do I find a specific faculty member?

There are two ways to locate a faculty profile:

  1. Search bar: Use the search bar at the top of the screen. You can search by first or last name. If there’s no exact match, Scholarly will return approximate matches.

  2. Browse by department: Go to the Directory, select a department, then click “View” next to the faculty member you want to open.

What types of faculty profiles can I view?

As an institutional administrator, you can toggle between two profile views:

  • Admin Profile:
    This profile is available only to institutional administrators and department chairs/admins. It includes administrative data such as:

    • Appointments

    • Evaluations

    • Service

    • Other institution-specific details (based on your Scholarly configuration)

  • Scholarly Profile:
    This is the view faculty see themselves. You can edit or add activities here on their behalf, including:

    • Educational background

    • Teaching

    • Research and scholarship

    • Service

Use the “View Scholarly Profile” button to switch to this view.

How are faculty assigned to departments?

Faculty appear in the department associated with their primary appointment.

How do I manage faculty appointments?

  1. Navigate to the faculty member’s Admin Profile (via the Directory or the search bar).

  2. If your institution has appointment management enabled, go to the Appointments section and click “Manage appointments.”

  3. You can add, edit, or remove:

    • Primary appointments

    • Secondary or joint appointments

How do I add private notes on a faculty member?

  1. Open the faculty member’s Admin Profile.

  2. Go to the Notes tab and click “Add Note.”

  3. Enter a title, the note content, and set the visibility:

    • Allow all admins: visible to all Scholarly administrators at your institution

    • Viewable only by me: visible only to you

You can edit or delete notes at any time from the Notes section of the profile.
