The My Documents tab provides a dedicated space for you to upload, organize, and manage files you want to keep available across Scholarly. This personal library makes it easy to store commonly used documents—such as CVs, syllabi, statements, and supporting materials—and attach them wherever needed in the platform.
My Documents is your private workspace. Files you upload here are visible only to you and your administrators unless you choose to attach them to an evaluation form or activity.
Accessing My Documents
From the left navigation menu, click My Documents.
Uploading Files
To upload a new document:
Click + New.
Choose File Upload.
Select a file from your device, or drag and drop a document.
Name your document, optionally add notes.
Click Save.
Note: You can upload files into the main list or directly into a folder.
Creating and Managing Folders
Folders help you keep your documents organized—for example, grouping syllabi, CV materials, or annual review documents.
Create a new folder
Click + New.
Choose New Folder.
Enter a folder name.
Click Save.
Move a document into a folder
Locate the document you want to move.
Click the three-dot menu next to the file.
Select Move.
Choose the destination folder.
Click Move to current selection to confirm.
You can repeat this process anytime to reorganize your library.
Downloading Files
To download individual files:
Click a file name to preview it
Select Download to save a copy to your device
To download whole folders:
Click into the relevant folder
Select Download in the top right corner
All documents within the folder will be downloaded into a .zip file
To download all your documents:
Select My Documents
Select Download in the top right corner
All documents within the folder will be downloaded into a .zip file
Renaming a Document
While documents cannot be edited or replaced directly in My Documents, you can rename them:
Click the three-dot menu next to the file.
Select Edit.
Update the file name.
Save your changes.
If you need to upload a newer or corrected version, simply upload the updated file as a new document and delete the old version.
Deleting a Document
To remove a file:
Click the three-dot menu next to the file.
Select Delete.
Confirm deletion.
Deleting a document removes it from My Documents but does not affect any evaluations or activities where you previously submitted that file.
Using My Documents Across Scholarly
Whenever you encounter a file-upload field within an evaluation form or activity, you can attach:
A new file, or
A file directly from My Documents
This saves time and ensures commonly used documents are always within reach.
Best Practices
Create folders to keep your materials organized.
Use clear, consistent file names to quickly locate documents.
Convert files to PDF when possible to ensure formatting stays consistent.
Periodically review and clean up outdated versions.
