Within an evaluation cycle, department admins can assign reviewers to each workflow step and set the deadlines for completing those steps. These settings ensure the evaluation progresses smoothly and on schedule.
All reviewer assignment and due date management happens directly on the Workflow Overview page—there is no longer a need to toggle between separate tabs.
Accessing Reviewer Assignments and Due Dates
You can access the Workflow Overview page in two ways:
Option 1: From Your Dashboard
Log into Scholarly.
Look for the evaluation cycle on your dashboard.
Click to open.
Option 2: From the Faculty Evaluations Tab
Click Faculty Evaluations in the left-hand menu.
Select the Managed Evaluations tab.
Locate your department’s cycle and click View to open.
Assigning Reviewers
On the Workflow Overview page, you will see each workflow step displayed within the diagram at the top of the page. To review and edit a specific step, select the step within the diagram or scroll to it using the pagination arrows.
To assign or edit reviewers:
Option 1: Assign in bulk
Use the reviewer field at the top of a column to assign the same reviewer to all faculty in that group.
Option 2: Assign individually
Click the reviewer field in a specific faculty member’s row to override the bulk assignment and assign a reviewer for that person only.
Notes on Reviewer Assignments
Multiple reviewers can be assigned to a single step when needed.
Individual reviewer assignments override any group-level assignments.
Reviewer assignments can be updated at any point during the evaluation cycle.
Setting Due Dates
Each workflow step also includes editable due date fields in the same consolidated table.
To set due dates:
Option 1: Set in bulk
Use the date field at the top of a column to apply a due date to all faculty in the group.
Option 2: Set individually
Edit the date in a specific faculty member’s row to assign a different date for that individual.
Notes on Due Dates
Individual due dates override group-level dates.
Dates can be adjusted at any time while the cycle is active.
Admins may extend deadlines even after they have passed, if needed.
Understanding “Due by” vs. “Closes on”
When editing due dates, admins can choose between two types of deadlines:
Due by
The date and time shown to the faculty member or reviewer as their expected completion deadline. (A “soft” deadline.)
Closes on
The hard locking date and time. After this date, the step closes and the faculty member or reviewer can no longer access it. (A “true” system lock date.)
This distinction allows admins to communicate expectations clearly while still retaining flexibility and control over access.
Best Practices
Assign reviewers early in the cycle to ensure no delays once faculty begin submitting materials.
Use bulk assignments (reviewers and due dates) for efficiency, then override individually when needed.
Monitor progress directly in the Workflow Overview table to identify upcoming deadlines or reviewers falling behind.
Coordinate deadlines across steps to avoid bottlenecks, especially near submission and review close dates.
Set “Due By” and “Closes On” times during business hours. While you can set deadlines for 11:59 PM, Scholarly recommends choosing times within normal working hours (e.g., 5:00 PM). This ensures that if faculty or reviewers encounter last-minute issues, they can reach support while help is available.
Frequently Asked Questions
Can I assign myself as a reviewer?
Yes — if you’re completing a Chair Review or committee role, you can assign yourself from the Assignees tab.
Can I assign more than one reviewer to a step?
Yes! Admins can assign multiple reviewers to any review step. Simply select multiple names before selecting “Update” to assign multiple reviewers to the same step.
What happens if I set both a group and individual value?
The individual value will always take precedence. Changing the group setting later will not overwrite individually set values.
