Workflow Data and Reports

As a department chair or admin, you can review evaluation progress and explore department-wide reporting directly within Scholarly. Once you open a workflow, the Workflow Overview page provides real-time status information, and the Explore Data tools allow you to analyze responses, completion rates, and evaluation outcomes across your department.

Accessing Evaluation Reports

You can access evaluation reporting tools in two ways:

Option 1: From Your Dashboard

  1. Log into Scholarly.

  2. Look for the evaluation cycle on your dashboard.

  3. Click to open the workflow’s Workflow Overview page.

Option 2: From the Faculty Evaluations Tab

  1. Click Faculty Evaluations in the left-hand menu.

  2. Select the Managed Evaluations tab.

  3. Locate your department’s cycle and click to open it.

Once on the Workflow Overview page, select Explore Data in the upper-right corner.

Exploring Data and Reports

The Explore Data menu provides multiple reporting views, allowing you to analyze evaluation progress and results across all participants.

1. Grid View

Grid View displays the entire evaluation in a spreadsheet-like layout.

You can use it to:

  • View responses to evaluation questions across all workflow stages

  • Track completion status for faculty and reviewers

  • Filter or sort by group, step, reviewer, or status

  • Export the data for reporting or compliance purposes

The first column shows each participant’s progress, making it easy to identify faculty who have not completed their self-evaluation or reviewers with outstanding steps.

2. Graph View

Graph View allows you to create custom visualizations of evaluation data.

You can:

  • Select variables for the X and Y axes

  • Break data down by department, rank, status, or other attributes

  • Choose visualization types (bar charts, scatter plots, etc.)

  • Edit titles, axes labels, and legends

  • Export graphs for use in presentations or departmental reports

This view is useful when you need a high-level overview or want to communicate trends clearly to leadership.

3. Workload (if configured)

If your institution uses workload reporting, the Workload view displays a Workload Histogram based on the activity types defined during configuration.

This tool helps you:

  • Compare faculty workload within or across departments

  • Visualize contributions and activity distributions

  • Identify outliers or workload imbalances

  • Reference contractual or expected workload benchmarks

Tracking Progress on the Workflow Overview Page

Before opening reports, you can also monitor progress directly on the Workflow Overview page. The table displays:

  • Each faculty member’s evaluation status

  • Completed and outstanding reviewer steps

  • Approaching or past-due deadlines

  • Assigned reviewers and due dates for each workflow step

Tips for Staying on Track

  • Pull a list from Grid View of faculty who haven’t completed their self-evaluation.

  • Use bulk reminders a few days before deadlines.

  • Export data or graphs when preparing departmental summaries or compliance reports.
