Evaluation cycles in Scholarly are organized into Groups, most often reflecting departments. This structure ensures clear and seamless management by allowing administrators to oversee progress within their unit. It also enables department or unit administrators and leaders to be granted administrative access to their designated group without providing visibility into other groups within the workflow.
Creating Groups During Cycle Setup
When creating a new evaluation cycle, you can choose to:
Create groups for each department
Assign faculty to their department groups
Since groups are most often reflective of departments, these options make it faster to launch cycles like Annual Reviews where all faculty need to be enrolled and grouped by department.

Accessing Group Settings
Navigate to Faculty Evaluations > Managed Evaluations.
Find the relevant cycle and click View.
In the top right, click Settings.
From the Settings page, click View Groups and Admins.
From this tab, you can:
Add new groups.
Edit Super Admins (Institutional Admins who have access to all groups in the cycle).
Access individual group settings (via the Settings button next to a group).
Managing Individual Groups
From a group’s Settings page, you can:
Edit Group Admins — Add or remove administrators responsible for managing evaluations within that group.
Edit Group Name — Rename a group if needed (e.g., update from “Group 1” to “Department of Biology”).
Delete a Group — Remove the group entirely.
Note: You cannot delete a group if faculty are assigned to it. Faculty must be reassigned before deletion.
Best Practices & Notes
Use department or unit names for groups to make reporting clearer.
Assign multiple group admins if several people need oversight.
Super Admins have visibility across all groups in a cycle, while Group Admins only manage the specific group(s) assigned to them.
