Editing faculty data using Grids

The following video covers how to edit your faculty data in Scholarly using the Grid interface, followed by some additional FAQs below.

What are some ways to edit my faculty data in the Editable Faculty Roster?

  • Type into the cell directly: Double-click on a cell to enter edit mode, type in the new information, and press Enter to complete your change.

  • Copy and paste from another cell: Copy data from one cell either by selecting the cell and pressing CTRL + V on your keyboard, or by right-clicking on the cell and selecting "Copy." Then, select the cell you would like to paste into and press CTRL + V.

  • Fill values from one cell into adjacent cell(s): Select a cell from which you want to copy data, then drag the handle in the lower right-hand corner into adjacent cells to fill them with the same value.

Why can't I edit certain fields?

Some fields in the faculty roster Grid cannot be edited, typically because they are imported from another source outside of Scholarly. For example, if departments are imported from a separate HR system that acts as the source of truth, changes must be made upstream in the HR system in order to be reflected in Scholarly.

In other cases, fields are calculated or inferred based on other data and cannot be edited directly. In the example in the video above, "Rank change note" captures the details entered in the "Rank" and corresponding "Rank change date" columns, but the note cannot be edited directly.

Why can't I paste in the read-only Grid?

"Paste" is not enabled in the read-only Faculty Roster, since it's not editable. However, all the same "Copy" functionality should be available in both.

Why is "Paste" greyed out in the Editable Faculty Roster?

When you right-click in the Grid, the "Paste" function appears greyed out due to browser security constraints. However, you can still paste using CTRL + V on your keyboard.

How do I save my changes?

Your changes will automatically save as you go and be reflected in the Scholarly database. When you make an edit in the Editable Faculty Roster, the cell(s) you changed will temporarily flash a different color so you know the change was captured.

What if I make a mistake? Can I undo a change?

Yes! You can use CTRL + Z to undo and CTRL + Y to redo.
